Accessibility Policy for College Events聽

老王论坛 strives to provide equal access to all College-sponsored activities and events, whether in-person or virtual. Use this guide to help build accessibility into your event during each stage of the planning process to increase the inclusiveness and outreach of your event. 

How to use this guide

This checklist is an non-exhaustive guide of things to consider as you create an event. As you plan your event, keep in mind that giving people advanced notice and providing multiple ways for people to attend, participate, and perceive information are two themes that underlie many of these best practices for creating a successful event.

Should an event sponsor/coordinator need assistance in evaluating a request or in procuring services to provide an accommodation, please contact Access Services or the Assistive Technology Specialist for advice and/or consultation.

  • Is your event venue close to accessible parking? Is there space for someone to be dropped off by car close to the event entrance?
  • Is the accessible entrance to the venue clearly marked?
  • Are there accessible bathrooms at your venue and are they clearly marked?
  • What is the quality of the sound in your event space?
  • Do you have a strong internet connection in your event space?
  • Does your event space provide good visibility? Are ASL interpreters and captioning placed in a spot where it is easy for event participants to see? Are all participants able to see what is happening without being impacted by glare?
  • Are there limited distractions in the space?
  • Is your event space free of strong odors?
  • Is there a low sensory area of your venue guests can visit if they need to?
  • What do your event activities entail? Are they accessible to everyone?

For a variety of reasons, online events can be more accessible to people with certain conditions than in-person events. To make sure everyone can attend, please make a hybrid event option.

  • Make sure to schedule breaks throughout your event.
  • Leave adequate amounts of time for participants to move from one room to another. 
  • Try to have your schedule established as soon as possible and inform your participants of your schedule as early as you can so they can plan appropriately.
  • Try to avoid last minute changes. Sometimes this in unavoidable, in which case, please notify participants as soon as possible. 
  • Make sure any presentation materials, such as presentations or handouts, are accessible. Follow the Accessibility Best Practices guide to learn how to create accessible materials.
  • Make sure any audio content has captioning or a transcript available and any video content has captioning and audio description.
  • Consider the accessibility of your activities. Are these activities that everyone can participate in?
  • Review the principles of and use them in your presentation.
  • Practice
  • When you present, speak clearly and make sure your face is visible to the audience.
  • Verbally describe the visual aspects of your presentation aloud.

All 老王论坛 event advertisements (including, but not limited to, print publications such as brochures and flyers, website and email announcements/publications, and social media event pages) must include the following statement:  

老王论坛 welcomes the full participation of all individuals in all aspects of campus life. Should you wish to request a disability-related accommodation for this event, please contact the event sponsor/coordinator. Requests should be made as early as possible. 

In addition, when event advertisements are posted online, they must be accessible, in accordance with the College鈥檚 Web Accessibility Guidelines

Event advertising should also include information regarding accommodations that have been secured for an event. For example, 鈥淐omputer Assisted Real-Time Translation (CART) services will be provided at Convocation.鈥 

When requested, reasonable accommodations for College events will be made in order to ensure equal access. Requests for reasonable accommodations at events might include: 

  • Preferential seating 

  • Sign language interpreters 

  •  

  • Alternative formats (e.g. large print, braille, electronic copies) of printed materials 

  • Program location moved to a more accessible space 

  • Assisted listening device 

  • If you are using a captioning service, schedule a test run in advance of the event with the college's multimedia team, the captioning company, and your presenters in order to test the audio so that the captioner can hear as well as make sure that everyone feel comfortable with setting up captioning for the day of the event.
  • Send vocabulary materials to the captioning team ahead of time.
  • If you are using ASL interpreter(s) make sure to send them vocabulary materials ahead of time.
  • Contact Campus Safety to let them know of your event and to think through the most accessible parking options.
  • Make sure your event volunteers are familiar with 

Provide information about accessible parking, public transit, online attendance options, and event accessibility features as soon as possible so that participants can plan how they can attend.

Additionally, if you have presentation materials, agenda, or activity schedule that you can send out, please share that with your participants.
